The 2025 AGM will be held on April 3rd, starting at 6pm at the Physsoc Lounge in HENN 307.
Voting will be open for 24 hours, from April 2nd at 6pm, till April 3rd at 6pm, the start time of the AGM. If you would like to run for a position, you must:
- State your intent to run by 5pm on April 2nd.
- Have purchased a Physsoc membership by 5pm on April 2nd.
Please fill out this form to submit your intention to run. You may run for up to 2 positions – to run for a second position, please do not fill out the form twice and email us instead. Note that you do not need to be in the department of physics and astronomy to run for the available positions, everyone is welcome! Please feel free to email us any questions about the roles and the elections.
Below are the positions available, and their responsibilities.
President (2)
The President(s) oversee all of Physsoc’s operations, providing leadership, support, and guidance to the council. They are responsible for planning and running annual social and academic events, developing new initiatives, maintaining and expanding resources for students, and acting as the primary liaison between Physsoc and the PHAS department.
Key responsibilities include:
- Holding weekly council meetings and ensuring council members fulfill their roles
- Managing Physsoc’s membership list
- Maintaining communication through email, Instagram, and Discord
- Managing Physsoc’s lounge upkeep
- Organizing the bi-election (if needed) and Annual General Meeting (AGM)
- Assisting with other roles as needed to ensure smooth operation
Vice President Academic (2)
The Academic VPs are responsible for planning and overseeing all academic events, ensuring they run smoothly by delegating tasks to the Academic and General Coordinators.
Key responsibilities include:
- Organizing academic events, including:
- Python and LaTeX workshops (each term)
- Beef & Pizza
- Chat with Profs (each term)
- TRIUMF & SBQMI tours
- Developing new academic resources, such as exam packs
Vice President Social (2)
The Social VPs are responsible for planning and executing all social events, creating opportunities for students to connect and engage outside of academics.
Key responsibilities include:
- Organizing large-scale events such as:
- Welcome Back BBQ
- Club collaborations
- Annual Wine & Cheese
- Coordinating biweekly social events, including movie nights, trivia, and Jeopardy
- Delegating tasks to Social Coordinators and ensuring smooth event execution
Vice President Finance (1)
The VP Finance manages all financial aspects of Physsoc, ensuring financial stability and accountability.
Key responsibilities include:
- Managing member payments and tracking expenses
- Applying for grants and securing funding for events and initiatives
- Maintaining financial records and preparing budgets
Secretary (1)
The Secretary ensures council meetings are well-organized and documented, facilitating smooth communication within the council.
Key responsibilities include:
- Coordinating and moderating council meetings
- Taking Meeting Minutes and distributing them via email
- Scheduling meetings and ensuring timely organization
- Leading the Annual General Meeting (AGM)
Academic Coordinator (1)
The academic coordinator supports the Academic VP(s) in organizing and executing academic events.
Key responsibilities include:
- Assisting with events such as Beef & Pizza, Python workshops, LaTeX workshops, and midterm review sessions.
- Helping to create new academic resources, such as exam packs
Social Coordinator (1)
The social coordinator assists the Social VP(s) in organizing and running social events
Key responsibilities include:
- Helping organize biweekly social events and semesterly Wine & Cheese
- Assisting with event promotion and social media marketing
- Bringing new and unique social event ideas to the council
General Coordinators (3)
General Coordinators specialize in media, content creation, and event documentation.
Key responsibilities include:
- Designing graphics and promotional material for events
- Managing social media posts on Discord, Facebook, Instagram, and the website
- Attending events to capture photos and videos for marketing
Science Undergraduate Society (SUS) Representative (1)
The SUS Representative acts as the liaison between Physsoc and the Science Undergraduate Society (SUS).
Key responsibilities include:
- Representing PHAS students at SUS meetings
- Communicating important updates between SUS and Physsoc
Mentorship Coordinator (1)
The Mentorship Coordinator manages Physsoc’s mentorship program, working with the Graduate Student Association (GSA).
Key responsibilities include:
- Managing mentor and mentee applications and pairing participants
- Collaborating with GSA
Graduating Student Representative (1)
The Graduating Student Rep ensures graduating PHAS students have a voice in relevant matters.
Key responsibilities include:
- Gathering student input on graduation-related topics
- Coordinating with Artona and UBC Physics Society to arrange the annual council-wide photo
